How to Setup NowEnrich

Get up and running with NowEnrich in your ServiceNow instance in minutes.

This guide will walk you through installing and configuring NowEnrich in your ServiceNow instance. The entire setup process takes approximately 10-15 minutes.

Prerequisites: You'll need admin access to your ServiceNow instance and a valid NowEnrich subscription with API credentials.

Purchase and Activate Your Subscription

If you haven't already, choose a subscription plan that fits your needs. After completing your purchase, you'll receive:

  • Your NowEnrich API key
  • Account credentials for the NowEnrich dashboard
  • Installation instructions and support contact information

Keep your API key secure and easily accessible—you'll need it during the installation process.

Install from ServiceNow Store

Navigate to the ServiceNow Store and search for "NowEnrich".

  1. Click on the NowEnrich application listing
  2. Review the app details and requirements
  3. Click the "Get" or "Install" button
  4. Authenticate with your ServiceNow Store account if prompted
  5. Select your target ServiceNow instance

Note: You must have the appropriate admin role in ServiceNow to install applications. If you don't have the necessary permissions, contact your ServiceNow administrator.

Complete Installation in ServiceNow

After initiating the installation from the Store, complete the process in your ServiceNow instance:

  1. Navigate to System Applications → Installed Applications in ServiceNow
  2. Locate the NowEnrich application in the list
  3. Click on NowEnrich to open the installation wizard
  4. Select the appropriate scope (typically Global for most use cases)
  5. Review and accept the installation settings
  6. Click "Install" and wait for the installation to complete

Installation typically takes 2-5 minutes. You'll see a confirmation message when it's complete.

Configure Your API Key

Once installation is complete, configure your NowEnrich API key:

  1. Navigate to System Properties → NowEnrich in ServiceNow
  2. Locate the "NowEnrich API Key" property
  3. Paste your API key from your subscription email
  4. Configure default enrichment settings:
    • Default enrichment type (People, Company, or Both)
    • Enrichment intervals for different record types (Companies, Contacts, Leads, etc.)
    • Auto-enrichment triggers and schedules
    • Field mapping preferences
  5. Click "Save" to apply your settings

Security Tip: Never share your API key publicly. Keep it confidential and rotate it periodically through the NowEnrich dashboard if you suspect it may have been compromised.

Configure Enrichment Intervals

Set up automated enrichment schedules to keep your data current without manual intervention:

  1. Navigate to NowEnrich → Configuration → Enrichment Schedules
  2. Configure intervals for different record types:
    • Companies: Set refresh intervals (daily, weekly, monthly, or custom)
    • Contacts: Configure how often contact data should be updated
    • Leads: Define enrichment frequency for lead records
    • Custom Tables: Set intervals for any custom ServiceNow tables you use
  3. Set priority-based intervals:
    • High-priority accounts: Daily or weekly refresh
    • Standard accounts: Weekly or monthly refresh
    • Inactive accounts: Monthly or quarterly refresh
  4. Configure conditional enrichment based on:
    • Account stage or status
    • Last enrichment date
    • Custom business rules
  5. Save your configuration to activate automated enrichment

Tip: Start with conservative intervals (weekly or monthly) and adjust based on your data freshness needs and enrichment usage. You can always modify intervals later to optimize your enrichment budget.

Configure User Roles and Permissions

Control who can use NowEnrich enrichment features:

  1. Navigate to User Administration → Roles
  2. Locate the "NowEnrich User" role
  3. Assign this role to users who should have access to enrichment features
  4. For administrators, assign the "NowEnrich Admin" role for full configuration access

Only users with the appropriate roles will see the "Enrich" action on Account, Contact, and Lead records.

Test Your Installation

Verify that everything is working correctly:

  1. Navigate to any Account or Contact record in ServiceNow
  2. Look for the "Enrich" UI action in the form actions menu
  3. Click "Enrich" to trigger an enrichment
  4. Wait a few seconds for the enrichment to complete
  5. Verify that data has been populated in the record fields
